The HWFC Board of Directors met on Wednesday, July 23.

Finance

The committee recommends an evaluation of the internal financial control system and then a review of records at the end of the year instead of an audit. This is less expensive than an audit and would yield information valuable for current strategic planning. A Board member expressed concerns about not having an audit. After discussion, it was decided to proceed with the evaluation of the internal financial control system with the strong possibility of an audit at a later date.

There was a report on the inventory process completed at the end of June. All of the department managers feel it is necessary to do inventory on a quarterly basis. On behalf of the managers, the committee asked that the policy of quarterly inventory be adopted, and the board did so.

Nutrition

This committee needs to draft a new food and product manual, in accordance with the newly revised bylaws.

Personnel

The personnel manual was sent to the Collective Management Team and responses were being awaited.

Board Business

The issue of Board members repeatedly missing Board and committee meetings was raised. If a member misses four meetings in a row, they may be dismissed from the Board.

The following committee liaisons were named: Membership – Jim Monsonis; Special Events – Howard Brent; Personnel – Lynne Lekakis and Lenore Gensberg; Governance – Linda Lawrence; Finance – Ginny McEwen; Strategic Planning – Lynne Lekakis and Ginny McEwen; Communications – Linda Lawrence; Nutrition – George Broeckx.

Communications

Cll coop communications systems, including the Coop Scoop, will be reviewed. A Board member will head a group to do this with an eye to making possible improvements.

Collective Management Team

Two staff members are working on a safety manual. Evaluations for staff are underway.

Executive Session

The Board met in executive session at the end of the meeting.

Minutes

Minutes of all meetings are available at the Coop. Minutes of the most recent meeting are posted on the bulletin board.

Upcoming Meetings

Board meetings are scheduled for the following Wednesdays: October 22, November 19, and December 17. Meetings begin at 6:30 pm and are held at the First Unitarian Universalist Society of Albany, Channing Hall, 405 Washington Avenue.

Dates, times, and locations are subject to change, however, so it is recommended that anyone planning to attend a meeting check on these closer to the meeting date.
